IMPORTANT NOTICE UPDATE - PORTS AMERICA NOLA MISSED/EXPIRED AND CANCELED/RESCHEDULED APPOINTMENT POLICY
PORTS AMERICA NOLA – APPOINTMENT SYSTEM Guidelines & Procedures – Effective 9/2/25
1. Appointment Scheduling
• Dispatchers must only book appointments for confirmed trucks.
• Do not book “placeholder” appointments. • Appointments made as placeholders will be monitored, logged, and deleted.
2. Appointment Window • Trucks may enter the Main Gate 30 minutes before and 30 minutes after their scheduled hour.
• Early arrivals will be turned away.
• Trucks blocking lanes or parking inside the gate will be turned away and may face suspension.
3. Truck Queue Call Forward Messages
• Drivers receive COME FORWARD messages when on time based upon their Active Appointment timeslot.
• Drivers receive STAND BY messages if arriving at Port early before Appointment timeslot.
• Drivers receive NO APPOINTMENT messages if no appointment made or has gone to Missed/Expired.
4. Missed/Expired Appointments
If a driver does not arrive within the appointment window, the appointment will be marked Missed/Expired.
• Late arrivals will be turned away.
• A $65 fee must be paid online before scheduling a new appointment.
Tip: To avoid charges, drivers should notify dispatch before the appointment window opens to reschedule for the same day. Example message: Trucking co. SCAC has previous payment outstanding for Missed or Reschedule Appointment(s). Please make payment with the Pay link.
5. Rescheduling Rules
• Same Day: Rescheduling for a later time on the same business day is free.
• Next Day: Rescheduling for the next business day will incur a $65 fee.
• Always reschedule from the existing appointment - do not delete it. Example Message: Trucking co. SCAC has previous payment outstanding for Missed or Reschedule Appointment(s). Please make payment with the Pay link.
6. Candidate Appointments
Candidate appointments are pick up-only and allowed only if:
1. The driver completed a drop-off just prior at N.O. Terminal and has their own chassis,
2. The truck had a dual move scheduled with Ports America, but the pickup could not be processed (e.g., no equipment available, placed on hold).
Not Allowed:
• Single receive moves followed by a candidate pickup appointment made after the fact.
• Ineligible candidate appointments will be deleted, and the truck must exit and re-enter with a proper timeslot appointment.
7. Pending Appointments
• Certain appointment requests may show as Pending if blocked by terminal validations (e.g., holds, vessel cutoffs, early receive attempts).
• Pending appointments occupies valuable timeslots and will be minimized.
• In most cases, the system will now prevent ineligible appointments from being made instead of sending them to pending.
8.Import Out Appointments
• For all paired In/Out appointments created with an Import Out move, the Appointment Details will prompt you to select and re-enter the same appointment date and time slot as the Receive Move, so it displays as a Dual Move.

Beginning Thursday, August 21, Ports America will implement a new traffic flow in our E/F Yard for exiting the terminal.
Please see QR Code and posted photo traffic map and ensure your drivers are informed of this change.
- A designated roadway will be lined with cones starting at E18.
- Trucks must enter this lane and follow it directly to the gate.
This adjustment is intended to improve traffic movement within the yard.
